Migration to Google Workspace

We move the company to Google Workspace so the team keeps working. Email, files and accounts land in place without data loss and without a lost day of work.

Migrating email and files is the moment when it is easiest to lose data or block the whole team for hours. We do it with a plan: first a trial on a few accounts, then production in a window matched to the company.

What the migration covers

Moving email, files and accounts to Google Workspace, with a trial before production and support after launch.

  • Email and contacts

We move mailboxes, folders, contacts and calendars from the old server, hosting or another system to Gmail in Google Workspace.

  • Files and shared drives

Data from a file server or another cloud lands on Google Drive and shared drives, keeping the structure and access.

  • Accounts and permissions

We create accounts, groups and aliases, set permissions and the domain, so addresses work the same as before the change.

  • Test migration

Before we move the whole company, we migrate a sample of accounts and check what actually moved. Risk surfaces in tests.

  • Secure start

MFA, mailbox access and basic security settings we enable before the switchover, not bolt on afterwards.

  • Support after the switch

Short guides and help in the first days. The team knows where email and files are, and is not left with questions.

Where migrations to Google Workspace can hurt

Moving the emails themselves is usually the smallest problem. Trouble comes from the details: aliases and shared accounts, forwarding rules, team calendars, mailbox permissions, integrations with an accounting system or CRM, plus multifunction printers that suddenly cannot send a scan to the company address. Skipping this turns a migration into a week of firefighting.

That is why we start with an inventory: how many accounts, how much data, what dependencies and what beyond email uses the domain. On that basis we run a test migration, and plan the production switchover in a window that disrupts the company least. We leave the old environment on for a set time as a safety net, so nothing disappears for good.

How we run the project

First analysis and a trial, then production. The order is there so risk surfaces in the test, not on the company.

  • test migrationon a sample of accounts before production
  • migration windowmatched to how the company works
  • no data losscompleteness verification after the switch
  • 2-4 weekstypical project time
  1. Analysis and plan. We check the source, data volume and dependencies. We set the scope, order of accounts and the switchover window.
  2. Trial on a sample. We migrate a few accounts as a test and compare the result with the source. We make fixes before the whole company moves.
  3. Production and switchover. We move the rest of the data, switch the domain and email over in the set window, watching over continuity of work.
  4. Care after launch. We stay with users in the first days and verify that email, files and calendars work as they should.

Frequently asked questions

Will we lose access to email during migration?

You should not. We plan the migration so the old email works until the switchover, and we do the switchover itself in a window matched to the company, often outside peak hours.

Where can you move data to Google Workspace from?

Most often from mail servers, shared hosting, Microsoft 365 or another cloud. We move email, contacts, calendars and files, keeping the structure and access.

Are you sure the data will not be lost?

Before production we run a test migration and compare the result with the source. After the move we verify completeness, and keep the old environment for a set time as a safeguard.

What happens after migration?

We can take over ongoing Google Workspace administration, user support and an independent backup of data, so the environment stays orderly and secured.
