SharePoint migration

We move documents into SharePoint from network drives, file servers and legacy platforms, keeping permissions, metadata and version history. With no downtime and no data lost along the way.

A file migration is the moment when it is easy to move the whole mess one to one, or to lose permissions and history. We do it differently: first we tidy up and map the structure, then we move data in stages, so the team keeps working without interruption and, in the end, everything adds up.

What the migration covers

From an inventory of sources, through moving the data, to verification and sign off.

  • Inventory and mapping

We check what sits where, how it is arranged and who has access. We design how it should look in SharePoint before we move anything.

  • Permissions, metadata and versions

We move not only files, but also the permission structure, metadata and version history. Documents arrive at the destination in full context.

  • Staged migration, no downtime

We move data in batches, with change synchronisation and a planned cutover. The team works as normal instead of waiting for the migration to finish.

  • Order along the way

While we are at it, we filter out duplicates, dead files and data nobody uses. SharePoint gets what is needed, not a digital dumping ground.

  • Migration from various sources

File servers, network drives, older SharePoint versions, as well as Dropbox or Google Drive. We match the method to the source and the volume of data.

  • Verification and sign off

After the migration we compare source data with the target and confirm completeness. We close the project on a verified result, not a declaration.

A migration is not copy and paste

The simplest approach, dragging folders into a new place, ends with the same mess plus lost permissions and versions. A file server structure rarely fits how SharePoint works with metadata and libraries.

That is why we start the migration with a design of the target structure and access rules. Only then do we move the data, mapping it onto the new layout. The result is an environment that is orderly from day one, not a copy of the old chaos at a new address.

No downtime and no data loss

A migration cannot stop the company. We move data in stages, and before the final cutover we synchronise the changes made in the meantime. As a result nobody loses their work from the last few days and there is no day when files are unavailable.

At the end we run a verification: we compare the number and content of items at the source and in SharePoint, and we check permissions and sample documents. We only close the migration once the data genuinely adds up.

How we run the migration

From a source audit, through the structure design, to cutover and verification.

  • in stagesmigration with no downtime
  • permissionsmoved together with the data
  • versionsdocument history preserved
  • verificationcompleteness confirmed
  1. Audit and plan. We inventory the sources, the data volume and permissions. We agree the target structure, the order and the migration schedule.
  2. Staged migration. We move data in batches, with change synchronisation and mapping onto the new structure. We plan the cutover so as not to stop work.
  3. Verification and adoption. We compare source data with the target, confirm completeness and help the team settle into the new way of working.

Model rozliczeń

We quote the migration per project, based on the data volume, the number of sources and the complexity of permissions. You know the cost up front, before we start.

Included

  • Source audit and target structure design
  • Moving data, permissions and versions
  • Staged migration with change synchronisation
  • Completeness verification and sign off

Beyond the plan

  • Very large data volumes
  • Migration from unusual or older platforms
  • Extensive tidying and content reorganisation

Pairs naturally with SharePoint implementation and SharePoint backup.

Frequently asked questions

We are moving data from a file server. Will you keep the permissions?

Yes. We migrate the permission structure together with the data, mapping it onto groups and access in SharePoint. We also move metadata and version history, so documents arrive at the destination in full context, not as loose files.

Will the company be able to work during the migration?

Yes. We move data in stages, and we synchronise the changes made in the meantime before the final cutover. There is no day when files are unavailable, and the team does not lose its most recent work.

Which sources can you migrate from?

From file servers and network drives, older SharePoint versions, as well as Dropbox or Google Drive. We match the method and tools to the source and the volume of data.

How can we be sure nothing is lost?

After the migration we run a verification: we compare the number and content of items at the source and in SharePoint, and we check permissions and sample documents. We only close the project once the data adds up.
